Like other models of goods circulation in the world, air cargo also needs to have important nodes in the order: Supply of raw materials -> Production -> Storage of goods - > Distribution -> Customers, the whole cycle is one-way and if only one of the above nodes is blocked, the whole flow of goods will be stopped.

1. What is Air Cargo Warehouse?

Air cargo warehouse is basically similar to the normal warehouse model with the main function of storing and handling goods. But the difference is the origin of goods in normal warehouse comes from domestic, or even from foreign countries but Customs clearance has been completed.

 As for the air cargo warehouse, there is significant different about the import / export stage, the goods in the air cargo warehouse will include both domestic units who want to export goods out of Vietnam and foreign units who want to export goods into the domestic market. Therefore, the airport warehouse is built to serve the main purpose of handling air cargo both domestically and internationally.

In a nutshell, an air cargo warehouse is a type of warehouse whose main function is to handle imported/exported air cargo to Vietnam.

In addition, before loading the goods on the aircraft, the warehouse will be the place to handle the goods to consolidate the ULD (short term for: Unit Load Device), this is a form of specialized container suitable for wide-body airplanes and some models of narrow-body ones.

The types of goods often do not have a common size, so they will be consolidated by air cargo warehouse’s staff to fit in ULD to optimize space and transportation costs. This is similar to LCL and FCL consolidate techniques in maritime transportation.

2. How to handle goods in the warehouse?

Create shipping order

This is the first and also the most important step to decide whether your goods when handled in the warehouse are accepted and cleared or be returned to correct the declaration, when you make a bill of lading (carrier), you need to pay attention to the following headings. Note that this includes the steps handled by the forwarder:

- Receive request from shipper and check the security of goods

- Receiving goods information from shipper

- Establish shipping route by direct shipping or through consolidation

- Send the request about capacity based on the inventory of the forwarder or the shipping unit

- Confirm the capacity

- Coordinating the pick ups

Receiving goods

Goods in transit to the carrier should be notified to Cargo handling agent and will need to provide the following information upon arrival:

- Information about electronic air way bill

- House way bill for consolidated orders

- Number and type of truck (If any)

- Estimated arrival time

- Requirements for security screening (If any)

When such information is received and the goods arrive, air cargo warehouse will allocate one unloading point to the driver, depending on the type of cargo, it may be at different such as dangerous goods, dangerous goods, live animals, pharmaceutical products, etc.

Accept the goods to prepare for shipping

Before accepting goods on board the flight, the airport warehouse and the ground handling unit must ensure the factors such as: meeting the requirements for security screening and the readiness of the package. When both of units fulfill the required procedures , information will be updated on the system, usually those processes need to meet:

- Conditions from carrier

- Regulations and export laws in the host country

- Regulations and laws at transit airports

- Import regulations and laws in the destination country

Preparing for the flight

After accepting process, the forwarder will establish a detailed schedule of goods that will be loaded on the flight and transported, in the process of transportation when passing through transit airports (If any) the goods will need to pass customs clearance in each transit.

This plan will be sent to the carrier to prepare additional plans and then will be returned to the air storage unit for processing.

Send goods to the flight

Goods after being packed on ULD will be stored in a secure area, depending on the types, they can be stored in the form of normal goods, refrigerated or dangerous goods.

With the warehouse unit, the ULDs will be sorted and prepared to be loaded onto the plane.
